Why people compare these two

Fireflies is a meeting assistant built for teams that live inside a CRM. Its strength is what happens after a call: the summary reaches the right record, the action items reach the right person, and the search across past meetings works well. It is a note-taker with unusually good plumbing.

Kalima sits earlier in the process. It writes the conversation down while it is still happening, in whatever language is being spoken, without adding anyone to the call. The two products overlap on the word "transcription" and diverge on almost everything around it.

What shows up in the meeting

Fireflies records by sending a participant. The Fireflies notetaker joins the call, appears in the participant list, and needs to be admitted. That is a design choice with real advantages: it works without anything installed, it captures the meeting even when the person who scheduled it is absent, and it can be automated from a calendar.

It also has a cost that has grown steadily through 2026. IT departments have started blocking unknown meeting participants, and a bot in the participant list is a conversation with every external party you meet.

Kalima has no participant to admit. The desktop app records the audio on your machine. On a call where a bot would be refused, refused late, or simply awkward, that is the whole difference.

Plans and limits, side by side

Facts checked on 22 September 2026 against fireflies.ai/pricing. Fireflies' pricing page renders its numbers in JavaScript and returned no dollar figures to a direct fetch, so this table does not quote prices we could not re-verify; check the page itself for the current amount. Fireflies bills in USD, Kalima in EUR.

The one figure Fireflies states outside the pricing table is the language list: English is primary, with Spanish, French, Portuguese and Italian named and "100+ other languages in beta". Kalima treats all 60 of its languages the same way and translates live between them, which is a different guarantee than a beta label.

Where Kalima is the better fit

External meetings. Client calls, candidate interviews, supplier negotiations, partner reviews. Every one of them is a meeting where the other side notices a bot, and some of them are meetings where the other side says no.

Live reading, not a later summary. Kalima's transcript is the live artefact. Someone who joins late can read what they missed while the meeting continues, and a colleague who cannot attend can follow along without being in the room.

Multilingual work. Fireflies is honest that English is the primary language and the wider list is beta. Kalima's 60 languages are the product, and live translation between them is part of the session rather than a separate step.

Recording that is not a meeting. Lectures, interviews in person, conference talks, dictation, a webinar in a browser tab. Fireflies needs a calendar event to attach to. Kalima needs audio.

Where Fireflies is still the better choice

Sales teams with a CRM at the centre. Fireflies pushes summaries and action items into HubSpot, Salesforce and Pipedrive properly. Kalima exports transcripts and has an API, which is not the same as a maintained CRM integration.

Recording meetings you do not attend. The notetaker can join a call on your behalf. Local capture cannot, by definition. If your workflow depends on capturing meetings without a human present, Fireflies wins outright.

Teams already standardised on it. Meeting history has gravity. Years of searchable calls in Fireflies is a real reason to stay.

Data protection and transfers

If you are buying from the EU, this is usually the section that decides the question, so here are the facts rather than a verdict.

Fireflies.ai is a US company. Its privacy policy states that servers are located "in the United States and other countries" and does not name a single hosting region. Checked 22 September 2026.

Fireflies states it does not train models on customer data. Its privacy policy says "we do not use personal information for AI model training and we contractually prohibit our vendors from using this information for their own model training," and separately describes a "Zero Data Retention" arrangement with the vendors that process meeting audio and transcripts.

Fireflies self-certifies under the EU-US Data Privacy Framework. Its privacy policy states that Fireflies.ai "has certified that it adheres to the Frameworks Principles" for data from the EEA, Switzerland and the UK. We were unable to independently confirm the current entry on the Data Privacy Framework participant list, which renders its results in JavaScript; verify directly if this matters for your purchase.

The framework is not settled law. The General Court dismissed the challenge to the adequacy decision in Latombe v Commission, case T-553/23, on 3 September 2025, and an appeal is pending before the Court of Justice. The adequacy decision remains valid while that appeal runs, but a transfer basis under appeal is a different risk profile from one that is not.

What Kalima can and cannot tell you. Kalima stores data in the EU, encrypts connections, never uses audio or transcripts to train models, and lets you export or delete your data yourself. How Kalima captures the audio

Kalima records on the device that is already in the meeting. The desktop app takes the microphone and the system audio, mixes them, and streams that to the transcription engine. Nothing dials into the call, so the participant list shows the people who were invited and nobody else.

That has three consequences worth knowing before you compare feature lists.

The first is access. A tool that joins as a guest needs permission to join. In an external meeting that permission belongs to the host, and in a company that blocks unknown participants it may never be granted. Capturing locally moves the decision to the person doing the recording.

The second is coverage. A meeting bot only works where its integration exists, which in practice means Zoom, Google Meet and Microsoft Teams. Local capture has no such list. Kalima records a Webex call, a Slack huddle, a Discord call, a webinar you are watching, a lecture in a room, or a video playing in a browser tab, because to the desktop app all of these are simply audio.

The third is timing. There is no bot to admit and no recording to process afterwards, so the transcript exists while the conversation is still running. Desktop audio capture and meeting detection are enabled on every Kalima plan, including the free one.

Questions people ask

Can Kalima join a meeting automatically like the Fireflies notetaker? No, and deliberately so. Kalima detects that a meeting has started and offers to record from your device; it never dials in. A meeting with no human present is a meeting Kalima does not capture.

Does Kalima work with Salesforce or HubSpot? Not as a packaged integration. Transcripts export in five formats and the API is available on the higher plans.

Is unlimited transcription on the Fireflies free plan really unlimited? Transcription itself is not capped. Storage, export and download limits are set per plan; check fireflies.ai/pricing for the current allowance before you rely on it.

What happens on a call where the host blocks external participants? Fireflies cannot record it. Kalima can, because there is nothing to admit.
