Log call summaries in HubSpot

After a sales or customer call, Kalima's AI summary goes to the matching contact or deal in HubSpot as a note: what was discussed, what was decided and who does what next.

The Kalima desktop app records the call audio on your computer, so it works with any calling tool and no recording bot joins your customer's call.

Call notes in the CRM without typing them

A CRM is only as good as the notes in it, and notes after a call are the first thing to slip when the next call is already waiting. The details that win the deal stay in someone's head.

Kalima writes the summary from the transcript. The automation files it on the record where the rest of the team will look for it.

Why call notes go missing

Logging a call takes minutes nobody has between calls.

1

Notes are written from memory

Written later, a note keeps the gist and loses the numbers, names and objections that matter in the next conversation.

2

Next steps are not tracked

What the customer was promised lives in an email draft or nowhere, and follow-ups depend on memory.

3

Handovers lose context

When a colleague takes over an account, they find a contact record without the history of what was said.

How to log Kalima summaries in HubSpot

The steps with Zapier. With n8n or Make the same flow runs through an API key.

01

File sales calls in one Kalima project

Record customer calls into a project such as Sales, so the automation only picks up those recordings.

02

Use New AI Summary as the trigger

Connect Kalima in Zapier from Settings, Integrations, and limit the trigger to your sales project.

03

Find the contact or deal

Add HubSpot's search step and look up the record, for example by the company or contact name you put in the recording name.

04

Add the note

Create a note on that record and map the overview, decisions, action items and the recording link into it.

What lands on the record

A structured note, the same shape after every call.

What was discussed

The overview and key points of the call, in a few sentences.

Decisions and next steps

What was agreed, and each action item with the person and deadline as they were named on the call.

Open questions

What the customer still needs an answer to, ready for the follow-up.

The way back to the transcript

A link that opens the call in Kalima, where the exact wording and the audio are.

Sales and success setups

Ways teams connect calls to their CRM.

Discovery call notesNew AI Summary in the sales project, then a HubSpot noteEvery first call documented on the contact

Customer success reviewsNew AI Summary in a customer project, then a note on the companyA running history of every check-in

Before you record

Kalima runs on your own device, so nobody in the meeting sees it. That is exactly why you should announce it: tell everyone before you start and ask for their consent. If you use Kalima at work, agree on it with your data protection officer and, where there is one, your works council first.

HubSpot questions

Common questions about logging Kalima summaries in HubSpot.

Zapier needs Kalima Plus or higher. n8n and Make connect with an API key, which needs Pro or higher.
Through what you give it: most teams name the recording after the company or contact and let HubSpot's search step find the record by that name. Recordings can be renamed during or after the call.
Tell everyone on the call that you are recording and transcribing, and follow the consent rules that apply to you. Kalima does not announce itself, so saying it is up to you.
Only what you map into the note. Most teams send the summary and the link, so the full transcript stays in Kalima.
