Automate Kalima with Zapier

The Kalima app on Zapier hands every new transcript, AI summary and action item to the apps your team already works in, and takes audio files from them to transcribe.

You connect it from Kalima's Integrations settings and approve access in a Kalima window. There is no key to copy, and you can remove the connection at any time.

Your recordings, delivered where the work continues

A transcript that stays in Kalima helps the person who recorded it. With Zapier, the summary reaches the team channel, the tasks reach the task list and the transcript reaches the shared folder, shortly after the recording ends.

It works the same for meetings, interviews, lectures, sales calls and voice notes. Anything Kalima transcribes can start a Zap.

Why results get stuck after a recording

The transcript is ready. The next step still depends on someone remembering it.

1

Summaries get copied by hand

After every call someone pastes the outcome into a channel or an email. On a busy day, that is the step that gets skipped.

2

Action items stay in the transcript

Tasks that were agreed out loud only help once they reach the tool where work is tracked, with the person who owns them.

3

Audio files arrive in many places

Recordings land in Google Drive, Dropbox or an inbox, and each one has to be downloaded and uploaded again before anyone can read it.

How to connect Kalima to Zapier

Setup takes a few minutes in Kalima and Zapier. No code is involved.

01

Open the Zapier card in Kalima

In Kalima, open Settings, choose Integrations and, on the Zapier card, Go to Zapier. Zapier asks you to accept the invitation to the Kalima app.

02

Approve access in a Kalima window

When a Zap asks for your Kalima account, a Kalima window opens. Sign in if asked and choose Allow access. Zapier never sees your password.

03

Pick a trigger and an action

For example, New AI Summary with Slack's Send Channel Message posts every new summary to a channel. The overview, key points, decisions and action items arrive as separate fields you can map.

04

Turn the Zap on

Zapier checks Kalima for new items on a schedule, and how often depends on your Zapier plan. Each transcript, summary and task is delivered once.

What the Kalima app on Zapier offers

Seven triggers, eight actions and three searches cover the path from a finished recording to the follow-up.

A trigger for every result

New Transcript, New AI Summary, New Action Item, New Moment, Recording Started, Transcription Failed and New Project. Each trigger can be limited to one project or workspace.

Actions that work on recordings

Upload Recording, Create AI Summary, Export Transcript, Name Speakers, Rename Recording, Move Recording, Create Project and Create Share Link.

Searches without IDs

Find Recording, Find Recording by Keyword and Find Project. Recording fields also accept the exact name or the Kalima link, and project fields the project name, so you never copy an ID.

Access you can take back

Zapier connects through a sign-in you approve, not a shared key. Remove Zapier under Settings, Integrations, Connected apps, and it loses access straight away.

Zaps teams set up first

Combinations that save the most copying.

Share the outcome of every callNew AI Summary, then a Slack or Microsoft Teams messageOverview, decisions and tasks in the channel without anyone writing them up
Track what was agreedNew Action Item, then a task in Asana, Trello or TodoistOne task per action item, with the owner and due date as they were said
Keep a transcript archiveNew Transcript, Export Transcript, then a Google Drive or Dropbox uploadA text, Markdown or subtitle file in a shared folder for every recording
Transcribe files from other placesA new file in Google Drive, Dropbox or an email, then Upload RecordingEvery new audio or video file transcribed without opening Kalima

Before you record

Kalima runs on your own device, so nobody in the meeting sees it. That is exactly why you should announce it: tell everyone before you start and ask for their consent. If you use Kalima at work, agree on it with your data protection officer and, where there is one, your works council first.

Zapier questions

Common questions about using Kalima with Zapier.

Plus or higher. How often Zapier checks for new items and how many tasks your Zaps can run depends on your Zapier plan, not on Kalima.
Only what your Zaps ask for. Zapier stores and processes that data on its own servers in the United States. If that does not fit your data policy, n8n can run on your own server.
By default, yes: a regenerated or edited summary triggers New AI Summary again with a higher version number. Turn on Only the First Summary of a Recording in the trigger to ignore those.
Yes. Upload Recording transcribes the file like any other upload, and the transcribed duration is charged to your Kalima balance. Create AI Summary uses one summary from your plan.
Turn off the Zap, or remove Zapier under Settings, Integrations, Connected apps in Kalima. Removing it stops every Zap that uses your Kalima account at once.
