Automate Kalima with Zapier, n8n or Make

Send new transcripts, AI summaries and tasks to other apps automatically, or upload files for transcription from Zapier, n8n or Make.

Kalima can hand new transcripts, AI summaries and tasks to other apps once they are ready, and take files from them to transcribe.

ToolHow it connectsPlan
ZapierThe Kalima app on Zapier. You approve the connection in a Kalima window.Plus and up
n8nThe HTTP Request node with a Kalima API keyPro and up
MakeThe HTTP module with a Kalima API keyPro and up

Each of these services stores and processes what Kalima sends it on its own servers. Zapier runs in the United States, Make offers an EU region, and n8n can run on your own server.

Zapier

  1. In Kalima, open Settings, choose Integrations and, on the Zapier card, Go to Zapier. Zapier asks you to accept the invitation to the Kalima app.
  2. Create a Zap and pick Kalima as the trigger or action app. When Zapier asks for your account, a Kalima window opens. Sign in if asked and choose Allow access.
  3. Pick what should happen. For example, the trigger New AI Summary with Slack's Send Channel Message posts every new summary to a channel.

What the Kalima app offers:

  • Triggers: New Transcript, Recording Started, Transcription Failed, New AI Summary, New Action Item, New Moment, New Project
  • Actions: Upload Recording, Create AI Summary, Export Transcript, Name Speakers, Rename Recording, Move Recording, Create Project, Create Share Link
  • Searches: Find Recording, Find Recording by Keyword, Find Project

Zapier checks Kalima for new items on a schedule. How often depends on your Zapier plan.

Create an API key

n8n and Make connect with an API key.

  1. Open Settings, choose Integrations, and under API keys choose New key.
  2. Name the key after the tool it is for, for example n8n.
  3. Choose Read only if the workflow only fetches recordings, transcripts and summaries. Choose Read and write if it also uploads files, renames or moves recordings, or requests summaries.
  4. Copy the key right away. Kalima shows it only once.

A key acts with your permissions, so treat it like a password. Your plan sets how many keys you can have at once.

n8n

The quickest start is the ready-made workflow. In Kalima, open Settings, choose Integrations and, on the n8n card, Copy workflow. Kalima can create a read-only key and put it into the workflow for you. Then open an empty workflow in n8n, press Ctrl+V (Cmd+V on a Mac) and connect your app where the placeholder sits. Every 15 minutes it fetches each new AI summary once, and its note on the canvas lists the fields. You can also download the workflow and import it; then add your key in its Kalima node.

To build it yourself:

  1. Add an HTTP Request node.
  2. For Authentication, choose Generic Credential Type and then Header Auth. Set the name to Authorization and the value to Bearer followed by your key.
  3. For new transcripts, call GET https://meetkalima.com/api/v1/recordings?status=finished. Each item has a sequence. Store the highest one and pass it as afterSequence on the next run, then you only get what is new.
  4. To run it regularly, put a Schedule Trigger in front of it.

To upload a file, send POST https://meetkalima.com/api/v1/recordings as multipart form data with the file in the file field. The REST API reference lists every endpoint.

Make

  1. Add the HTTP app's Make a request module.
  2. Enter the URL, for example https://meetkalima.com/api/v1/recordings?status=finished, and the method.
  3. Under Headers, add Authorization with the value Bearer followed by your key.
  4. Turn on parsing of the response so later modules can use its fields.

The same sequence and afterSequence pair as in n8n fetches only new transcripts.

Remove access

  • Zapier: open Settings, Integrations, Connected apps and choose Revoke next to Zapier.
  • API key: under API keys, choose Revoke next to the key. Workflows that use it stop working until you enter a new key there.
