Seat Requests from Team Leads
How team leads invite people into their team, what happens when no seat is free, and how to approve, deny or automate seat requests.
Team leads can invite people into their own team without asking an admin, as long as a seat is free. When every seat is taken or held by an invitation, the invitation arrives in the console as a seat request instead.
How team leads invite
In the Kalima app, a team lead opens Settings, then Your organization, and under Team lead chooses Invite people. The person gets an invitation by email and joins the team as a member after accepting. If no seat is free, the invitation becomes a request, depending on the setting below.
Where requests appear
Open Members and choose Seat requests. The button shows the number of open requests. People with the Billing role reach the same page from Billing. The overview's To do list also shows waiting requests.
Each open request shows the address, the team, who requested it, when, and when it expires.
Who decides
Owners, admins, member admins and people with the Billing role can approve and deny. On Enterprise, a custom role with Decide seat requests can too.
- Approve: the person gets the usual invitation email and joins the team as a member after accepting. The open invitation holds a seat right away and is valid for 7 days.
- Deny: you can add a Note for the team lead (optional). The team lead sees the denial in the app. No one gets an email.
Approving needs a free seat. More seats come from your plan, not from a request. See Billing and seats.
When no seat is free
The section When no seat is free decides what happens. Only owners and admins change it.
| Setting | What happens |
|---|---|
| Manual approval | The team lead sends a request. It waits until someone approves or denies it, and expires after 30 days. |
| Approve automatically up to a ceiling | Kalima approves a request as soon as a seat is free and no more seats than your ceiling (Most seats taken or held) are taken or held afterwards. Kalima checks when a request comes in, when you save the setting, and every six hours. Until then you can approve it yourself. Kalima never approves more seats than the plan has. |
| No requests | The team lead cannot invite anyone until a seat is free again. Open requests stay until someone decides them or they expire after 30 days. |
History
Closed in the last 30 days lists approved, denied, withdrawn and expired requests with the date and who decided. Kalima keeps an open request for at most 30 days and a decided one for 30 days after the decision.
