Company Vocabulary and Summary Templates
Teach Kalima your company's terms and translations, and set summary templates and defaults for the whole company or single teams.
The area Vocabulary & templates has two tabs: Vocabulary for terms Kalima should recognize correctly, and Templates for how AI summaries are structured. Owners and admins manage both. On Enterprise, custom roles with Keep the vocabulary or Manage templates can too.
Vocabulary
Technical terms, product names and names of people that Kalima should recognize correctly in your company's recordings, plus translation pairs for recordings that are translated.
Lists
Under List you pick Whole company or a team. The company list applies to every new recording of all company accounts. A team list applies in addition to new recordings of that team's members.
Add entries
- Add entry: choose Term or Translation pair. A term helps Kalima recognize a word. A translation pair sets how a term is translated and is only used for recordings that are translated.
- Paste a list: one entry per line. Write a translation pair as
term = translation, or copy two columns from a spreadsheet. The preview shows what will be added; duplicates and lines that are too long are skipped.
Limits per list: up to 200 terms and 50 translation pairs, each entry up to 100 characters.
How Kalima uses the vocabulary
- When it applies: for every new recording and every uploaded audio file of a company account. Finished transcripts do not change.
- Teams: if a recording already belongs to a team, that team's entries apply. Otherwise the entries of every team the person is in apply.
- Precedence: what the person sets for a recording themselves comes first. If the context runs out of room, the whole company's entries are left out first, then the teams' entries.
Templates
Summary templates decide how AI summaries are structured for a kind of conversation, such as sales calls, service cases, job interviews or lectures. Members pick the template when they create a summary.
Create a template
Your company can have up to 50 active templates. Archive hides a template from members; Restore brings it back. Finished summaries do not change.
Default templates
Under Default templates you set which template is preselected in the app for the Whole company and, if you like, for each team (Same as the company follows the company default). The automatic summary after a recording follows the default.
- If a recording is in a team's space, that team's default applies. For other recordings, a team default applies when all of the member's teams that have their own default use the same one; otherwise the company default applies.
- Allow Kalima's standard summary: when on, members can still pick Kalima's usual summary instead of a template. To turn it off, first choose a default template for the whole company.
What templates do not change
Sections and instructions set the focus and the outline. They do not change the structure or the accuracy rules of the summary, and the AI adds nothing made up, with or without a template. Only your company's active company accounts see the templates; guests and private accounts do not. Members see the name and short description, not the instructions.
