Guests from Outside Your Company
Let people from other companies or with private accounts work in single projects, set their highest role, and decide if your people may be guests elsewhere.
Guests are people outside your company who work in individual projects of your company, with an account of another company or a private Kalima account. A guest sees only the projects they were invited to. Open Members and choose Guests.
Allow guests in your projects
Guests are off until you switch them on. Owners and admins change these settings.
- Allow guests: people outside your company can be invited into individual projects. Turning this off ends every guest access in your projects, open invitations included, after a confirmation. The recordings stay where they are.
- Highest role of a guest: Viewer or Editor. Viewers read transcripts, audio and summaries. Editors can also edit the content of recordings. A guest never becomes an admin. Switching to Viewer turns guests with the Editor role into viewers.
If your company has an invite domain allowlist under Policies (external sharing), a guest needs an address from one of those domains.
How guests are invited
Owners and admins of a project invite guests in the project settings under Members. A guest needs a Kalima account of their own: a company account of their company or a private account. Someone without an account creates a private account when accepting the invitation.
What a guest can never do
A guest cannot file their own recordings into your project, delete or move your recordings, invite others, change project settings or sharing, or create share links.
Guests and open invitations
The list shows each guest with name, email, company (or Private for a private account), project, role and since when. You can Remove a guest or Withdraw an open invitation. A removed guest loses access to the project right away; the recordings stay where they are.
Your people in other companies
Own people may be guests in other companies is on by default. Members of your company can then accept invitations from other companies into their projects. Turning it off ends these guest accesses right away.
The console shows only how many of your people are guests elsewhere, never who or in which company. The host company does see them in its own guest list, with name, email address, your company, project and role.
