Usage & Quotas

Track your transcription, AI, upload, and storage usage against your plan.

Your plan comes with a set of weekly allowances for transcription minutes, file uploads, and AI tools, plus a cloud storage limit. This page explains exactly what Kalima meters, the limits for each plan, when everything resets, and what happens when you reach a cap.

What gets metered

Kalima tracks several kinds of usage. Each one is measured against your plan's limit for the current calendar week, with the exception of storage, which is an ongoing total, and prepaid credits, which never expire monthly.

There are four meters. Transcription minutes cover live recording and uploaded-file transcription time, measured to near-second precision. File uploads count the number of audio or video files you transcribe each week. AI usage covers summaries, chat messages, and AutoCorrect+ fixes. Storage is the cloud space your saved recordings and audio occupy. Automatic session titles are written for free and are not metered.

Note

Transcription minutes work a little differently from the other meters. When you record, time is drawn from your plan's included weekly minutes first, then from any prepaid credits you have bought. Credits do not reset each month. See Minutes, Credits & Balance for how that balance works.

The table below shows the core usage caps for each plan. Enterprise limits are custom and effectively unlimited.

Recordings made with the desktop app are saved locally on your device and do not count toward your cloud storage quota. Learn more in Capturing Audio & Screen.

AI quotas by plan

AI features are metered separately from transcription minutes. Each plan grants a weekly allowance of summaries, chat messages, and AutoCorrect+ fixes.

Automatic session titles are not in this table because they are free on every plan and never metered: every session is named from its transcript when its recording ends. For a full explanation of how each AI quota behaves, see AI Usage & Limits.

When quotas reset

All weekly quotas reset together every Monday (00:00 UTC). At the start of each week your transcription, upload, and AI allowances return to your plan's full amount. Prepaid credits do not expire monthly.

A reset refreshes your included allowances. It does not change prepaid credits (which carry over) or your storage usage (which reflects the recordings you currently keep).

Where to see your usage

You can review every meter at any time, so there are no surprises.

Open your Profile or the Billing dashboard.

Find the usage meters, which show your current total against the limit for each resource.

Check the resources you care about: transcription minutes remaining, uploads used, AI summaries left, and storage in use.

If you regularly reach a limit, consider upgrading your plan for a larger or unlimited allowance.

While you are recording, the balance gauge in the Studio sidebar shows your remaining transcription time at a glance. It reads as full at around 10 hours of available time and turns critical at about 1 hour remaining, so you have time to top up or upgrade before you run out.

What happens when you reach a limit

Hitting a limit affects only that specific resource. The rest of your account keeps working normally.

Recording stops when your included weekly minutes and any prepaid credits are both used up, and you'll see an insufficient-balance message. You can buy a prepaid credit top-up to keep recording right away, or upgrade to a plan with more included minutes. Kalima warns you with a low-balance notice before you reach zero. Once you reach your plan's number of uploads for the week, new uploads pause until the next weekly reset or until you upgrade. Your existing transcripts are unaffected. See Supported Formats & Limits.

That specific AI feature shows a clear message that you've reached your plan's limit and pauses until the weekly reset or until you upgrade. Your other AI tools that still have allowance remaining keep working. See AI Usage & Limits.

Storage is an ongoing total rather than a weekly meter. If you're approaching your cap, you can free space by removing recordings you no longer need, or move to a plan with more storage. Desktop recordings stored locally don't count toward this cap.

Included weekly minutes are withheld until you verify your email, and may be withheld while an account is under review. Any prepaid credits you have purchased still work in both cases. Verify your email to unlock your free allowance.

Note

Reaching a quota never deletes anything or closes your account. It simply pauses that one feature until the next weekly reset or until you upgrade. Your transcripts, recordings, and settings stay exactly as they were.

If a limit is slowing you down, you have two paths. Upgrade your plan for larger weekly allowances and more storage, or top up prepaid credits to extend recording time without changing plans.
