Understand what Kalima stores, your privacy rights, storage limits, how to request an export, and what happens when you delete your account and data.

Your conversations are personal, and you stay in control of them. This page explains what Kalima stores, the privacy rights you can exercise, and exactly how to request a copy of your data or permanently delete your account.

What Kalima stores

When you use Kalima, the platform keeps the information it needs to deliver your transcripts and run your account, and nothing more than that:

  • Sessions and transcripts. Your recorded sessions, the transcribed text, translations, speaker labels, and any session names or notes you add.
  • Audio recordings. Audio you record in the browser is processed for transcription and stored against your storage quota so you can play it back.
  • Account information. Your name, email, sign-in method, preferred languages, and your plan, billing, and usage records.
  • AI results. Summaries, chat history, and AutoCorrect+ changes you generate are saved with the session they belong to.
Note

Screen and video recordings made with the Kalima desktop app are saved locally in your Documents folder and are not uploaded to the cloud. The audio you capture in the browser for live playback also stays on your device and does not count toward your cloud storage quota. See Capturing audio and screen.

How much you can store

The amount of session and audio data Kalima keeps in the cloud is governed by your plan's storage quota. Local desktop recordings never count against it.

Your privacy rights

Kalima supports the data-protection rights you would expect under GDPR and similar laws. You can do the two most important ones yourself, directly from your account:

  • Get a copy of your data. Request an export of the personal data Kalima holds about you (right to data portability).
  • Delete your account. Permanently erase your account and personal content (right to be forgotten).

You also stay in control of who can see each session. Sharing is always off until you turn it on, and you can revoke access at any time. See Sharing a session.

Note

Both privacy actions require a verified email. If you have not verified yet, use the in-app reminder to send a fresh link first. See Create your account.

Request a copy of your data

You can ask Kalima for a copy of the personal data it holds about you at any time. The request is logged, the Kalima team is notified, and you receive an email confirmation.

Watch for the confirmation email letting you know your request was received.

Note

Exports are fulfilled by hand, so allow roughly 1 to 2 weeks for delivery. You can submit only one export request every 7 days. If you have requested one recently, your earlier request is still being processed.

Delete your account

If you want to leave Kalima, you can permanently delete your account yourself. This is a complete erasure, not a temporary deactivation.

In the Danger Zone, select Delete account.

If you sign in with email and password, enter your current password. (Google accounts confirm through their sign-in instead.)

Optionally tell us why you are leaving.

Type DELETE to confirm, then confirm the deletion.

Your account is scheduled for deletion in 14 days and a confirmation email is sent. You stay signed in and everything keeps working until then.
Note

Nothing is removed on the day you ask. Your account is erased 14 days later, and you can call it off at any point until then from the same Danger Zone panel, which shows the date and a Keep my account button. Once the 14 days are up the erasure cannot be undone, so export anything you want to keep before then.

What deletion removes

When the 14 days are up, Kalima permanently removes your most sensitive content and erases your identity:

  • Your content. Your transcripts and audio, session names, session context, and search text are permanently deleted.
  • Credentials and settings. Your password, sign-in tokens, personal settings, and notifications are removed.
  • Memberships. You are removed from any organizations and teams you belong to, and your profile data is anonymized. If you owned an organization that other people are still in, ownership passes to a remaining member so their work is not affected.
  • Subscription. Your subscription stops renewing as soon as you request deletion, and is cancelled outright when the deletion runs. You keep the period you have already paid for.

Recordings that belong to an organization rather than to you personally are not deleted. The organization is responsible for those, and removing them would destroy other people's work.

Your invoices and the accounting entries behind them are kept for as long as German tax law requires (currently 8 years for invoices, 10 for the revenue records), which the GDPR expressly allows. Alongside those, we keep usage records: how long each recording ran, how many words it produced, and which features were used when. They hold no transcripts, no audio and no contact details, and they stay attached to your account record, which we anonymize rather than delete.

Frequently asked questions

No. A session is private to you unless you explicitly share it. When you do share, you choose exactly who can open it: anyone with the link, signed-in users only, specific people by email, or a whole team or organization. You can add a password or expiry and disable access at any time. See Sharing a session.

No. Screen and video recordings captured in the Kalima desktop app are saved to your Documents folder on your own computer and are never uploaded to the cloud. They do not count toward your storage quota. See Privacy and stealth mode.

Exports are fulfilled manually, so plan for about 1 to 2 weeks. You will get an email confirming your request, and you can submit a new request once every 7 days.

Yes. You can remove individual sessions and recordings from your sessions list at any time without touching the rest of your account. Account deletion is only for when you want to erase everything permanently.

To make sure it is really you. Email and password accounts must re-enter the current password and type DELETE to confirm. Accounts that sign in with Google confirm through their Google sign-in instead, so no password is needed.

Signing out clears locally cached app data from that device, so your transcripts and account details are not left behind for the next person who uses it. This is especially useful on shared or public computers. See Account security.
