Teams Transcription Greyed Out or Not Available? Causes and a Workaround
When Teams refuses to transcribe, the reason is almost always a setting you cannot reach: an admin policy, a licence on someone else's tenant, or the fact that you are a guest. This guide walks through the causes and shows a transcript that does not depend on any of them.
"Start transcription" is greyed out, missing from the menu, or it starts and then stops. In Microsoft Teams that is rarely a bug. Transcription is switched on and off by an admin policy, it needs a licence on the organiser's tenant, it is limited to certain roles in the meeting, and a few meeting types do not support it at all. None of these are things a participant can change from inside the call. This guide lists the causes so you can tell which one you are looking at, then shows how to get a transcript that does not depend on Teams at all.
The six reasons Teams will not transcribe
Microsoft documents these in its admin and support articles; the short version:
- The meeting policy has transcription turned off. Teams admins control transcription per policy. If the organiser's tenant has it off, the option is greyed out for everyone in that meeting, including the organiser.
- The organiser's licence does not include it. Transcription is tied to specific Microsoft 365 and Office 365 plans on the organiser's side. A participant with the right licence in a different tenant does not change what the meeting offers.
- You are a guest, external or anonymous. Only the organiser, co-organisers and, depending on the meeting options, presenters from the organiser's organisation can start transcription. Guests and external attendees see the option greyed out or not at all.
- The meeting type does not support it. Some channel meetings, webinars and town halls, and calls started from a chat behave differently from scheduled meetings; transcription may be unavailable or behave in ways that surprise you.
- The spoken language is not set or not supported. Teams needs a meeting language it can transcribe; an unusual language, or several languages in one meeting, degrades or blocks the transcript.
- Recording and transcription conflict with compliance settings. Tenants with retention or compliance recording set up can block transcription, or produce one that participants never get to see.
If your organisation runs the tenant, the fix is a ticket to the Teams admin. If someone else's organisation does, the fix is not yours to make.

A transcript that does not depend on the tenant

Because Kalima runs on your own device, nobody in the meeting can see it. That is the reason to announce it, not a reason to skip the announcement. Consent rules for recording and transcription vary by country and sometimes by region; many require every participant to agree. A short sentence at the start of the meeting covers you and, in our experience, nobody objects to notes they will receive afterwards.
Frequently asked questions
Why is "Start transcription" greyed out for me but not for a colleague?
Roles. The organiser and co-organisers can start it; presenters sometimes can, depending on the meeting options; attendees and guests cannot. If your colleague is the organiser, that is the whole difference.
Can a guest or external participant start transcription in Teams?
No. Transcription is controlled by the organiser's tenant and limited to members of that organisation with the right role. A guest can read the transcript if it is running and shared, but cannot start it.
Does Kalima need admin approval or an IT ticket?
No. It is a desktop app on your own machine, or a web app in your browser. Nothing is installed in Teams and nothing is added to the meeting.
Will Teams notify the organiser that I am transcribing?
No. Kalima does not interact with Teams at all; it captures the sound your computer plays. That is why you should tell the other participants yourself.
