Webex Transcription Not Available? What Is Actually Blocking It

The transcript option is greyed out, or the meeting ended and the transcript never arrived. In Webex that is usually one of four things, and three of them are decided by someone in Control Hub. This guide tells them apart.

In Webex, "transcription is not available" almost never means the feature is broken. It means a setting sits somewhere you cannot reach, or the recording went to the wrong place. Four causes cover nearly every case.

Four reasons a Webex transcript does not exist

  1. The site administrator has not enabled it. Transcription for a Webex site is switched on in Control Hub, under the meeting site's recording settings. Individual users cannot turn it on for themselves. If the option is greyed out for everyone in your organisation, this is why, and a ticket to your Webex admin is the fix.
  2. The recording was saved locally, not to the cloud. Webex transcribes cloud recordings. A recording saved to the host's own computer produces a video file and nothing else. This is the single most common cause of "I recorded it but there is no transcript".
  3. The plan or the host's controls do not include it. Availability of captions, recording transcripts and AI summaries depends on the plan, on what the host has turned on, and on the languages the site supports. A colleague getting transcripts on a different Webex site tells you nothing about yours.
  4. It has not finished processing. Webex typically needs about twice the meeting length to produce a transcript, and under load it can take considerably longer. A transcript missing thirty minutes after a two-hour meeting is not yet missing.

Where that leaves a participant

Three of those four are decisions made by the host's organisation. If you joined a Webex meeting hosted by a customer, a supplier or a partner, you have no path at all to a transcript: you cannot enable the site setting, you cannot choose cloud recording, and you cannot upgrade their plan. You can ask, and often the answer is a polite no or a promise that never arrives.

That asymmetry is worth naming, because it is the reason this page exists. The tools that solve it are the ones that do not go through Webex.

Getting a transcript on your own device

Questions people ask

Does Webex transcribe a local recording? No. Only cloud recordings are transcribed. A locally saved file has to be transcribed by something else.

How long should a Webex transcript take? Roughly twice the meeting duration is normal, and busy periods stretch that. If it has been a day, something else is wrong.
