Zoom Transcript Not Available? Why, and How to Get One Anyway

A Zoom recording without a transcript is usually a setting that was off before the meeting started, a recording saved to the host's computer instead of Zoom's cloud, or processing that has not finished. This guide checks each cause and shows a transcript that is ready when the meeting ends.

Zoom creates a transcript only under specific conditions: the meeting was recorded to the cloud, the audio transcript option was switched on before the meeting started, the recording has finished processing, and the account's admin allows transcription in the first place. Miss any one of them and the recording page shows a video, an audio file and no transcript, or the words "Transcript not available". Below are the causes in the order they are most likely, what to do about each, and how to get a transcript that is finished the moment the meeting ends instead of hours later.

1. The recording was saved to a computer, not to Zoom's cloud

Zoom transcribes cloud recordings only. A recording saved to the host's computer produces an MP4 and an M4A and nothing else. If the recording sits in a folder on a laptop rather than in the Recordings section of the Zoom web portal, that is the answer.

2. The audio transcript setting was off when the meeting started

In the web portal, cloud recording has an option to create an audio transcript. It has to be on before the meeting; switching it on afterwards does not backfill recordings that already exist. This is the single most common cause in the community threads about missing transcripts.

3. Processing has not finished

Cloud recordings appear before their transcripts do. Zoom says processing can take roughly twice the meeting's length, and longer at busy times. A two-hour meeting can show "processing" for a good while before the transcript exists.

4. The admin has disabled it

Account admins can lock the audio transcript setting for the whole account or for groups. If the toggle is greyed out in your settings, an admin has decided for you.

5. The meeting language is not supported, or the audio was poor

Zoom's transcript supports a fixed set of languages, and it depends on the meeting's language setting. A meeting held in another language, or with the wrong language selected, can end without a usable transcript. Very poor audio does the same.

6. You are not the host

Cloud recordings and their transcripts belong to the host's account. If someone else hosted, the transcript is on their recordings page, not yours, and only they can share it. If that is your situation, read how to transcribe a Zoom meeting you do not host.

Every row above is a setting on Zoom's side, and every one of them has to be right before the meeting. Nothing repairs a recording that was made without them.

A transcript that is ready when the meeting ends

How long does Zoom take to create a transcript?

Zoom's own guidance is roughly twice the length of the meeting, and it can be longer at peak times. The recording itself usually appears first.

Can I turn the transcript on for a recording that already exists?

No. The audio transcript setting has to be on before the meeting is recorded. For an existing recording, download the audio and upload it to a transcription tool such as Kalima.

Why is the audio transcript option greyed out in my settings?

An account admin has locked it, either for the whole account or for your group. Only the admin can change it.

Can participants see the transcript?

Only what the host shares. The transcript is part of the host's cloud recording; a participant needs the host to send the file or a link.
