Connect Kalima and Google Drive

Two directions, both automatic: finished transcripts are saved to a Drive folder as files, and new audio or video files in a Drive folder are sent to Kalima to transcribe.

Set it up with Zapier, n8n or Make. The files are the same ones Kalima's Export dialog downloads.

Your transcripts in Drive, your Drive files in Kalima

Many teams keep everything in Google Drive: recordings from interviews, podcast episodes, lectures and calls, and the documents that come out of them. Moving files between Drive and a transcription tool by hand is slow and easy to forget.

With an automation, a file dropped into a folder is transcribed in Kalima, and every finished transcript goes back to Drive in the format you choose.

What makes the round trip tedious

Download, upload, wait, export, upload again.

1

Recordings sit in Drive untranscribed

Audio from a recorder, a phone or a colleague lands in a shared folder and stays unread until someone moves it.

2

Exports are done one by one

Each transcript has to be exported and filed in the right folder by hand.

3

Subtitles need their own files

Video teams need SRT or VTT next to the video, not a transcript in another tool.

How to connect Kalima and Google Drive

The steps with Zapier. With n8n or Make the same flows run through an API key.

01

Connect Kalima to Zapier

In Kalima, open Settings, Integrations and, on the Zapier card, Go to Zapier. Approve access in the Kalima window that opens.

02

Transcribe new Drive files

Use Google Drive's New File in Folder as the trigger and Kalima's Upload Recording as the action. Set the spoken languages and, if you like, names and terms to recognize.

03

Save finished transcripts

Use New Transcript as the trigger, add Export Transcript with the format you need, then Google Drive's Upload File with the folder.

04

Name files after the recording

Map the recording name into the file name, so the folder stays readable.

What the integration handles

Formats and options from Kalima's own export and upload.

Six export formats

Text, Markdown, SRT and VTT subtitles, JSON with timings, or the AI summary as a Markdown file.

Original or translation

When a recording was translated, export the original language or the translation track.

Upload options

Up to three spoken languages, a translation language, context about the recording and names or terms to recognize, set once in the Zap.

Filing in Kalima too

Uploaded files can go straight into a Kalima project or workspace, so they are organized on both sides.

Common setups

Pick the direction you need, or both.

Transcribe interviews from a shared folderNew File in Folder, then Upload Recording into a Kalima projectEvery new interview transcribed and filed without manual uploads
Subtitles for video filesNew Transcript, Export Transcript as SRT, then Upload FileA subtitle file in Drive for each transcribed video
A document archive of every meetingNew Transcript, Export Transcript as Markdown or textA searchable transcript file per recording in Drive

Before you record

Kalima runs on your own device, so nobody in the meeting sees it. That is exactly why you should announce it: tell everyone before you start and ask for their consent. If you use Kalima at work, agree on it with your data protection officer and, where there is one, your works council first.

Google Drive questions

Common questions about using Kalima with Google Drive.

Zapier needs Kalima Plus or higher. n8n and Make connect with an API key, which needs Pro or higher.
Yes. Each upload is transcribed like a file you upload yourself, and the transcribed duration is charged to your Kalima balance.
Audio and video files, the same ones you can upload in Kalima. If Zapier cannot tell the file name from the link, set it in the File Name field, for example interview.mp3.
Yes. Export Transcript has an AI summary format that produces a Markdown file, which Drive can store next to the transcript.
