Log sales call notes in Salesforce

After a sales call, Kalima's AI summary lands on the Salesforce opportunity it belongs to as a note, and every next step that was agreed becomes a Salesforce task with the owner and deadline as they were said.

Record with the Kalima desktop app: it captures the call audio on your computer, whatever calling tool you use, without a bot in your customer's meeting.

The opportunity record tells the whole story

Forecast reviews run on what is in Salesforce. When the last three calls with a buyer exist only in a rep's memory, the stage, the next step and the risk on the opportunity are guesses, and a manager has to ask in a one-to-one what the record should already say.

Kalima turns the conversation into a structured summary. Zapier finds the opportunity and attaches that summary as a note, so the record is current before the rep has opened the next calendar invite.

Where Salesforce records fall behind

Reps sell first and update the CRM later, if there is time left.

1

Activity history with gaps

The record shows that a meeting took place, but not what the buyer said about budget, timing or the other vendor they are also talking to.

2

Promises nobody owns

The rep offered a security questionnaire and a pricing sheet. Without a task on the opportunity, that promise lives on a sticky note.

3

Deal reviews built on retelling

Managers coach from the rep's account of a call instead of from what the customer actually said in it.

How to send call summaries to Salesforce

These are the Zapier steps. n8n and Make build the same flow with their own Salesforce modules and a Kalima API key.

01

Record sales calls into one project

Create a Kalima project such as Sales calls and name each recording after the opportunity or account, for example Brightwater Logistics renewal. That name is what Salesforce is searched for.

02

Start the Zap with New AI Summary

Connect Kalima from Settings, Integrations and Go to Zapier on the Zapier card. Limit the trigger to the sales project and switch on Only the First Summary of a Recording, so an edited summary does not add a second note.

03

Look up the record with Salesforce's Find Record

Choose Opportunity or Account as the object and search its Name field for Kalima's Recording Name.

04

Attach the summary with Create Note in Salesforce

Use the ID from the search as the parent record, the Recording Name as the title, and Overview, Decisions, Open Questions and the Recording Link as the body. Orgs that work with the newer Lightning notes pick Create Enhanced Note instead.

05

Optional: tasks from New Action Item

A second Zap starts with Kalima's New Action Item, runs the same Find Record step and then Create Record on the Task object, so each next step sits on the same opportunity with the task as its subject.

What each Kalima field becomes in Salesforce

A suggested mapping. Every field is optional, so you decide how much of the call the CRM keeps.

Recording Name as the note title

The note is named like the meeting it came from, for example Brightwater Logistics renewal, and sits among the other activity on the record.

Overview, Decisions and Open Questions as the body

Each list arrives with one point per line, so the body reads like a short call report: what was discussed, what was agreed and what the buyer still needs.

Action Items as Salesforce tasks

Task becomes the subject. Owner and Due arrive as they were spoken, such as Lena and by Thursday, so most teams put both in the description and set the due date themselves.

Recording Link as the way back

Anyone with access to the recording in Kalima opens the transcript and the audio from the note and can check the exact wording of a commitment.

How sales and service teams use it

Three setups, each with its own trigger and Salesforce object.

Discovery and demo callsNew AI Summary from the sales project, then Create Note on the opportunityEvery call documented where the forecast is reviewed
Commitments to the buyerNew Action Item, then Create Record on the Task objectEach promised next step as an open task on the deal
Account reviews in customer successNew AI Summary from a customer project, then Create Note on the accountAn account history that a new owner can read in one sitting

Before you record

Kalima runs on your own device, so nobody in the meeting sees it. That is exactly why you should announce it: tell everyone before you start and ask for their consent. If you use Kalima at work, agree on it with your data protection officer and, where there is one, your works council first.

Salesforce questions

What teams ask before they connect Kalima to Salesforce.

Kalima's Zapier app needs Plus or higher. n8n and Make connect with a Kalima API key, which comes with Pro and higher.
Yes. Salesforce is a premium app on Zapier, so the Zap runs on a paid Zapier plan or during a Zapier trial. Zapier also lists which Salesforce editions it supports, and depending on your org's settings an admin has to approve Zapier first.
The one Find Record returns. That is why the recording name matters: when it matches the name of the opportunity or account, the search finds it. Recordings can be renamed in Kalima during or after the call.
Create Note attaches a classic note to a parent record. Create Enhanced Note writes the newer notes that many Lightning orgs use. Pick the kind your team already reads, so the summary is where people look for it.
Title: Brightwater Logistics renewal. Below it, two sentences of overview, the decisions, such as a pilot with 20 seats from March, the open questions, such as who signs off the security review, and the link to the recording.
Only the fields you map. Most teams keep the transcript in Kalima and store the summary and the Recording Link on the record, which keeps notes short enough to read before the next call.
Tell everyone on the call that you are recording and transcribing, and follow the consent rules that apply to you. Kalima does not announce itself, so saying it is up to you.

Put your next sales call on the opportunity
