How to Auto-Transcribe Zoom Calls and Update Your Sales Pipeline
The pipeline is only as current as the notes on each deal, and notes are the first thing that slips between two calls. Here is how to get every Zoom sales call transcribed, summarised and filed on the deal without typing, and without a bot in the customer's call.
Short answer: record the Zoom call on your own computer with the Kalima desktop app, let Kalima write the AI summary when the call ends, and connect Kalima to your CRM through Zapier, Make or n8n so that each new summary lands on the right deal as a note. In HubSpot the summary goes to the contact or deal; in Salesforce it goes to the opportunity, and the agreed next steps can become tasks. No bot joins the Zoom call, because Kalima records the sound your computer plays. The pipeline gets the call's content automatically. Moving a deal to the next stage stays your decision.
The three pieces
| Piece | What happens | Where it runs |
|---|---|---|
| Transcript | Kalima transcribes the Zoom call live, with speakers separated | The desktop app on your computer |
| Summary | When the call has run for at least five minutes with enough speech, Kalima writes a summary with decisions and action items on its own | Kalima |
| CRM update | An automation picks up each new summary and adds it to the matching deal | Zapier, Make or n8n |
Step by step
The guides for HubSpot and Salesforce show the field mapping. With Make or n8n the flow is the same.
Which plan
Zapier works from Kalima Plus, Make and n8n from Pro. On company accounts with Team or Enterprise, admins can also send a signed webhook to their own system whenever a summary is ready.
What to tell the customer
Kalima does not appear in the Zoom participant list, so nobody sees that you are transcribing. Say it at the start of the call. Our consent wording has sentences you can use.
FAQ
Do I need to be the Zoom host?
No. Kalima records the audio your computer plays, so it works whether you host the call or only joined it. It uses neither Zoom's captions nor its cloud recording.
Does the transcript go into the CRM too?
The note carries the summary with a link to the full transcript in Kalima. Keeping the full text out of the CRM keeps the deal record readable.
Can the automation move the deal stage?
Kalima sends the summary. What your automation does with it is up to you, but most teams leave stage changes to the rep.

Zoom Transcript Not Available? Why, and How to Get One Anyway
Zoom changed the rules in May 2026: captions are live only, the Save captions setting is gone, and the transcript has to be switched on by the host before the meeting. This guide covers the change, the older causes that still apply, and a transcript that is ready when the meeting ends.
