Log call notes and follow-ups in Pipedrive
Connect Kalima to Pipedrive and every recorded sales call ends up on its deal: the AI summary arrives as a note, and each next step someone agreed to becomes a Pipedrive activity linked to that same deal.
Kalima's desktop app records the audio on your own computer, so it works with whichever calling tool you already use, and no bot joins your prospect's meeting.
A deal that remembers the call
Pipedrive is organised around the next activity on each deal. After a day full of calls, that next activity is often missing: the deal waits in its stage with nothing planned, and the details of what the prospect asked for have faded by the following morning.
Kalima writes the conversation down and structures it into an overview, decisions, open questions and action items. Zapier looks up the deal by its title, leaves the summary there as a note and books the follow-up, so the deal has its next step before you dial the next number.
Why Pipedrive deals go quiet
Small sales teams spend their day on the phone. The CRM gets whatever is left of the evening.
Deals with nothing scheduled
A deal without a planned activity slowly goes cold. Usually the follow-up was agreed on the call itself; it just never made it into Pipedrive.
Notes typed from memory
Writing up a call at six in the evening turns a forty-minute conversation into three lines, and the objection about delivery times is the first thing to disappear.
Handovers without context
When a colleague takes over a deal, the notes are the only briefing they get. Thin notes mean asking the customer the same questions a second time.
How to send call summaries to Pipedrive
The steps below use Zapier. In n8n or Make you reach Kalima with an API key and add the Pipedrive steps there yourself.
Name each recording after its deal
Collect sales calls in one Kalima project, for example Pipeline calls, and give every recording the title of its Pipedrive deal, such as Northfield Dental expansion. A recording can be renamed in Kalima while the call is still running or once it is over.
Choose New AI Summary as the trigger
In Kalima, open Settings, then Integrations, and choose Go to Zapier on the Zapier card. Pick New AI Summary, set Project to your sales project and turn on Only the First Summary of a Recording, so a regenerated summary does not post a second time.
Look up the deal with Find Deals in Pipedrive
Find Deals searches deals by any field. Search the deal title for the Recording Name from Kalima and hand the deal ID on to the next step.
Add the summary with Create Note in Pipedrive
Link the note to that deal ID and fill the note content with Overview, Decisions, Open Questions and the Recording Link. Pipedrive's note content accepts HTML, so if the fields run into each other, put a line break tag between them.
Book follow-ups with Create Activity
A second Zap starts with Kalima's New Action Item, repeats the Find Deals step and ends in Pipedrive's Create Activity. Task becomes the subject and the activity is tied to the same deal. Kalima passes Owner and Due on as they were said, so the rep picks the actual date.
Which Kalima field goes where in Pipedrive
One way to map the fields. Leave out anything your team would rather not keep in the CRM.
Recording Name as the search term
The recording title is what Find Deals looks for. Keep it identical to the deal title and every note lands on the right deal.
Overview and Decisions at the top of the note
Two or three sentences on what was discussed, followed by what was agreed, one point per line, for example a trial with five treatment chairs from next month.
Open Questions for the next call
Whatever the prospect still wanted to know, such as whether installation is included in the price, sits right below, so the rep can prepare an answer.
Action Items as Pipedrive activities
Each action item becomes one activity with Task as its subject. Owner and Due come in exactly as spoken, for example Jonas and next Tuesday.
Recording Link back to the source
From the note, anyone with access to the recording in Kalima opens the transcript and the audio and can hear what the customer actually said.
Where small sales teams use it
Three common setups, each starting from its own Kalima trigger or project.
Before you record
Kalima runs on your own device, so nobody in the meeting sees it. That is exactly why you should announce it: tell everyone before you start and ask for their consent. If you use Kalima at work, agree on it with your data protection officer and, where there is one, your works council first.
